What this covers
This policy covers coachingos.org and the Coach OS products: CaseWeaver, Plancor, Clincor and Lexicor. The section on text messages at the end is the policy for our text-message line and is written exactly as that line is registered.
What we collect
From the forms on this site: the name, business, email, phone number and description you choose to give us, the page you came from, and the time.
From a product account: your name, your business, your email, and how many people will use it. Inside a product: the files, recordings, notes and records you put there. That is your work, and we hold it only to do the job you asked for.
From payments: Stripe tells us that a payment succeeded and for which account. We never receive your card number.
How we use it
To answer you, to run the product you signed up for, to bill you the price you agreed to, and to tell you when something needs your attention. Nothing else.
What we never do
- We do not sell, rent or trade personal information.
- We do not use your files, notes, recordings or matters to train any model, ours or anyone else’s.
- We do not share mobile information with third parties or affiliates for marketing or promotional purposes.
Who can see it
People inside Coach OS LLC, and only to do the work. No subcontractor ever has access to customer data. These companies process data on our behalf, each under its own terms: Supabase (databases), Vercel (hosting), Amazon Web Services (clinical and recording pipelines), Stripe (payments), Resend (email) and Twilio (calls and texts).
Where it lives
In United States regions of the providers above. Each customer’s records are separated from every other customer’s at the database.
Health information
Clinical audio and notes are processed only on Coach OS’s own Amazon Web Services account, which is covered by Amazon’s Business Associate Addendum. We sign a Business Associate Agreement with any practice that needs one before it puts patient information in a product.
How long we keep it
For as long as your account is open, and after that for as long as ordinary business and tax records require. A closed account is never silently deleted: you are told first and can export everything.
Your choices
Export your work from inside any product at any time. Email info@coachingos.org to ask what we hold about you, to correct it, or to have it deleted.
Children
Coach OS products are for businesses. We do not knowingly collect information from anyone under 16.
Changes
The date at the top shows the current version. If a change affects how your data is used, we email account holders before it takes effect.

Text messages (SMS)

What we collect
When you text our security-audit line we collect your mobile phone number, the content of the message you send us, the keyword you used (which tells us which representative you met), and the time you texted. If you contact us through the form on coachingos.org we collect the name, business, email, phone number and description you choose to give us.
How we use it
Only to respond to you, deliver the security audit you asked for, and keep a record of which representative referred you. That is the entire purpose.
What we do NOT do
We do not sell, rent, or share your phone number or personal information with third parties, and we do not use it for third-party marketing. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.
Who can see it
Your details are stored in our own private database and are accessible only to Terrell Clayton and the Coach OS representative who referred you. We use Twilio to send and receive text messages and Supabase to store records; both process data on our behalf under their own terms.
How long we keep it
We keep enquiry records for as long as needed to serve you and to keep ordinary business records. Ask us to delete yours at any time and we will.
Your choices
Reply STOP to any message to stop all texts. Email terrellclayton@yahoo.com to ask what we hold about you, to correct it, or to have it deleted.
